The Role:
We are seeking a proactive and detail-oriented individual to manage key operational and compliance functions at our Hasting site. This role is responsible for overseeing stock control, fuel and AdBlue supply, vehicle compliance (including tax, MOT, and insurance), and yard equipment maintenance. The position also involves liaising with suppliers, maintaining accurate records, and ensuring all vehicles and equipment meet regulatory and company standards. Additionally, the role includes monitoring RFID usage and reporting non-compliance. This is a vital role that supports the smooth running of our logistics and service operations.
Responsibilities:
Stock control
- Monitor and order stock on behalf of Recorra so not to have a negative effect on the service we provide to our customers.
- Ensure we have adequate stock at all times.
- Main point of contact for all stock requests/enquires.
- Liaise weekly with Stock Controller and address any issues/problems.
Diesel and AdBlue, fuel cards control
- Responsible for ordering fuel and AdBlue for the Hastings site.
- Monitor levels and order when required.
- Liaise with suppliers to obtain the best price.
- Keep fuel records up to date.
- Administer the use of fuel cards.
Vehicle compliance Tax, MOT, Insurance
- To ensure all vehicles are taxed in-line with expiry dates.
- Sence check all vehicles are MOT and scheduled on smart check.
- Sence check all vehicles including hire vehicles are correctly registered with the Insurance broker and logged on MID against fleet list on Smart Check every 2 months.
- Ensure New Vehicle form is completed for all new and hire vehicles and off hired form completed when vehicles return.
- Sence check accounts, Dart/congestion charge. Tip sites.
- Sence check Prida against driver details and expiry dates on Driver check, and vehicles against smart check.
- Monitor service levels with suppliers eg VWS, Linde, Fleetclear.
Yard equipment
- Responsible for all compliance of yard equipment and updating Upkeep.
- Keeping servicing and inspections in-line with manufacturers recommendations.
- Ensuring annual testing is completed on-line and relevant paperwork uploaded to Upkeep.
- Arranging maintenance suppliers to attend breakdowns.
RFID and RFID reports
- Highlighting drivers that continually fail to use Vespa correctly.
About you:
- Previous experience in logistics, fleet administration, or stock control preferredbut training can be provided
- Strong organisational and time management skills
- Proficient in Microsoft Office (Excel, Word, Outlook)
- Good communication skills with the ability to liaise effectively with suppliers and internal teams
- Basic understanding of vehicle compliance (e.g. MOT, insurance, tax)
- Ability to work independently and take ownership of tasks
- Attention to detail and a proactive approach to problem-solving
